Site Control Occupancy

How It Works

Site Control Occupancy is set up by administrators and used by people on site. Administrators define areas and print QR codes. Site Users scan those codes in a phone browser and confirm each movement. Occupancy then follows each person’s last confirmed area.

Step 1 — Create Areas

An administrator creates the areas that matter on the site. Typical examples are Unassigned, Ground Floor, B1, B2, and B3. Unassigned is used as a default bucket when a person is not currently recorded in an occupancy area, for example before the first check-in. Areas that should not be counted in the main occupancy total can be excluded from that total.

Area names should match how people on site already talk about the place. If a landing is always called B2, the area name should be B2. That makes the Confirm Move screen easier to trust.

Step 2 — Create QR Points

A QR Point describes one movement. The administrator sets a From Area, a To Area, and a display label such as IN, OUT, UP, DOWN, or MOVE. From Area can be left open when the scan means “I am now in this area” from wherever the person was last recorded. Other points can be stricter, such as Ground Floor → B2 at a specific staircase.

Each QR Point has a secure token in its URL. The printed code points at that token. If a code is lost or copied, an administrator can disable it or reissue a new token.

Step 3 — Place QR Codes

The printed codes belong at the actual movement points: stair landings, basement entries, or site gates. A code for Ground Floor → B2 should not be taped on B3. People will scan what they see. If the label on the wall does not match the movement, occupancy records will be wrong even if the software is working.

Step 4 — User Scans QR

The person uses the phone camera or a QR reader. The page opens in Safari or Chrome. No app store visit is required. The page shows the movement described by that code, for example the current recorded area and the destination area, with a Confirm Move button.

Step 5 — User Identification

First-time users create a profile with Name, Company, and Mobile Number, and they agree to the Privacy Policy and Terms of Use. Registration cannot continue without that agreement. The browser may then store an identification token.

Returning users are recognized automatically where that token is still available. If it is not — private browsing, a new phone, or cleared site data — Account Recovery can reconnect an existing profile. Recovery candidates show a masked Mobile Number only. Choosing another person’s account is prohibited.

Step 6 — Confirm Movement

The person checks the on-screen movement and taps Confirm Move. The record is stored only after that confirmation. If the QR Point has a From Area that does not match the person’s current recorded area, the system can still allow the move and mark a location mismatch for administrators to review.

Step 7 — Occupancy Updates

After a successful confirmation, that person’s current area becomes the destination area. Occupancy for the previous area goes down and occupancy for the destination area goes up, unless the destination is excluded from the occupancy total. The count is “how many active Site Users are currently recorded here,” not “how many bodies a camera can see.”

Step 8 — Administrator Dashboard

Authorized administrators sign in on a separate login page. Depending on role, they can view current occupancy, open the list of people recorded in an area, review movement history, and manage areas or QR points. Viewer accounts can read occupancy and history but cannot change site setup. Admin accounts can operate the site. Super Admin accounts can also manage other administrators.
