QR-Based Site Occupancy Management

QR codes and browser-based workflows are used to record area movements and provide a clear view of current site occupancy without requiring users to install a mobile application.

The Problem

On a construction site or similar facility, people do not stay in one place. There may be several entrances, staircases, and basement levels. Workers, staff, clients, consultants, and visitors can move between floors throughout the day. A supervisor standing on Ground Floor cannot see who is currently recorded on B2 or B3.

Paper sign-in sheets go out of date as soon as someone forgets to write a name. Asking every person to install an app adds friction, especially for short visits. When an incident happens, a delayed or incomplete headcount makes it harder to know who was last recorded in a given area. Site Control Occupancy is built for that practical gap: a short scan at a known movement point, then a shared occupancy view for authorized administrators.

The Solution

The service uses a short chain of steps. A QR code is placed at a real movement point. The person opens it in a phone browser. The system identifies the Site User, either from a saved browser token or from a first-time registration. The person confirms the movement. The recorded current area is then updated, and occupancy for the destination area changes.

  1. QR Code — a printed code represents a defined From Area and To Area.
  2. Browser — the page opens in Safari or Chrome. No app store step.
  3. User Identification — a returning browser can be recognized; a new user registers Name, Company, and Mobile Number.
  4. Movement Confirmation — the person taps Confirm Move before the record is stored.
  5. Area Occupancy Update — that person’s current area becomes the destination area, and the dashboard counts change.

This is not GPS tracking. The system only knows the last confirmed QR movement. If someone walks to another floor without scanning, the occupancy figure will not follow them. That limit is described on the Limitations page.

Key Features

QR-Based Movement Tracking

A printed QR code can represent a defined movement, such as Ground Floor to B2. The person scans the code at that point and confirms the move in the browser. The record is tied to that QR Point, not to a GPS coordinate.

Area-to-Area Occupancy

Occupancy is based on each person’s current area after a confirmed From Area → To Area movement. The system is not limited to a single IN or OUT flag. Administrators can see how many people are currently recorded in each area.

No App Installation

Site Users open the QR page in Safari or Chrome. They do not need to install a mobile application or create a password account. That keeps the scan step short on a working site.

Returning User Recognition

After registration, the browser may store an identification token. On a later scan from the same browser, the person can go straight to Confirm Move. The token is created by this service. It is not a phone IMEI or hardware serial number.

Account Recovery

If the browser token is missing — after deleting site data, using private browsing, or changing phones — a person can search for an existing profile with Name, Company, and Mobile Number. Candidates show a masked number only.

Occupancy Dashboard

Authorized administrators can open a dashboard to review current occupancy by area. The figures update from confirmed scans. They are not a camera count and they are not a guarantee of physical presence.

Role-Based Administration

Administrator access is split into Viewer, Admin, and Super Admin. Viewing occupancy and history is separated from changing areas, QR points, or administrator accounts.

Movement History

Authorized administrators can review previous confirmed movements, including the QR Point used and the time of the scan. Public visitors cannot browse other people’s movement records.

Emergency Contact Support

A Mobile Number is stored so a profile can be recovered and so authorized administrators can contact a person where that is appropriate. The system does not currently require SMS login, and it does not send emergency messages by itself.

Use Cases

The same scan flow can be used in different workplaces. The value is a shared record of confirmed area movements, not a claim that the software can keep a site safe by itself.

Construction Sites

Sites often have ground level, basement floors, towers, and controlled zones. QR codes at those transitions can record who last confirmed a move into each area, which helps office staff see occupancy without walking every floor.

Temporary Work Zones

When a restricted zone is opened for a limited period, a QR point can represent entry to that zone. Occupancy then reflects people who confirmed they moved in, rather than a paper list that is easy to leave behind.

Site Offices and Facilities

Offices, stores, and plant rooms can be treated as areas. The same scan flow works for staff who move between operational zones during a shift.

Emergency Situations

During an evacuation or incident, administrators may use the last recorded areas as one input for a headcount. Missed scans and delayed scans can leave gaps. This system should support, not replace, the site’s own emergency procedures.
