FAQ

Short answers to the questions that come up when a site starts using QR occupancy records. For the full sequence of setup and scanning, see How It Works.

Do users need to install an app?

No. Site Users open the QR page in the phone’s existing browser, such as Safari or Chrome. There is no App Store or Play Store step for recording a movement. That choice is intentional: visitors, consultants, and short-term workers should be able to scan a code without installing software on a personal phone. Administrators still use a separate login in the browser. They also do not need a dedicated mobile application.

Does the system track GPS location?

No. Current occupancy is based on confirmed QR movements between named areas. The service does not currently collect GPS or device geolocation coordinates, and it does not follow a person as they walk. A scan records that someone confirmed a move from one named area to another at that time. If GPS or similar tracking is added later, it will not be silent: the Privacy Policy will be updated first, and users will see the new version before they continue.

What information does a user enter?

A new Site User enters Name, Company, and Mobile Number, then agrees to the Privacy Policy and Terms of Use. Registration cannot continue without that agreement. Returning users on the same browser often do not need to enter those details again, because the browser can store an identification token created by this service. That token is not a phone IMEI. Administrators may later see occupancy and movement history for people who have registered; public visitors cannot browse other people’s profiles.

Why is a mobile number requested?

Site Users do not use a password. The Mobile Number is the practical way to reconnect a person to the correct profile during Account Recovery, especially after a phone change or after site data is cleared. Authorized administrators may also use the number to contact a person where that is appropriate, including emergency contact. The system does not currently require SMS login, and it does not send emergency messages by itself. Public recovery results show a masked number only, such as the last four digits.

What happens when a user changes phones?

A new phone will not have the previous browser identification token. The person should use Account Recovery: enter Name, Company, and Mobile Number, review the matching candidates, and confirm their own profile. After that, the new phone can store a new token. Choosing another person’s account is prohibited. If several people share similar names, the masked Mobile Number is there to reduce mix-ups.

What happens in Private Browsing?

Private or incognito windows often discard site storage when the window closes. The identification token may not persist, even if the person agreed to the Privacy Policy. Agreement does not force the browser to keep data. For day-to-day use, a normal browser window is more reliable. If the token is gone on the next visit, Account Recovery can reconnect the existing profile instead of creating a duplicate.

Can administrators see current occupancy?

Yes, if they have an administrator account and a role that allows occupancy access. Public visitors cannot open the dashboard. Viewer, Admin, and Super Admin accounts can all read occupancy. The figures come from each active Site User’s current recorded area after the latest confirmed scan. They are not a camera count. Write access — changing areas, QR points, or user records — depends on the role.

What is the difference between Viewer and Admin?

A Viewer can read the dashboard, occupancy, users, movement history, and alerts, but cannot change areas, QR points, companies, or user records. That role is for people who need to see who is currently recorded in each area without editing the site setup. An Admin can do that operational work: create areas, issue QR points, and manage Site Users. Super Admin can also add or change administrator accounts. Buttons that a role cannot use are hidden, and the server still rejects unauthorized changes.

How does the system know which area a person is in?

It uses the latest confirmed movement. After Confirm Move, that person’s current area becomes the To Area of the QR Point. Occupancy then counts how many active Site Users currently have that area recorded. If someone walks to another floor without scanning, the recorded area will not change. If they scan the wrong code, the recorded area will follow that code. The system does not infer location from GPS, Wi-Fi, or cameras.

Is the occupancy number guaranteed to be exact?

No. Occupancy depends on people scanning the correct QR code and confirming the move. Missed scans, shared phones, delayed scans, damaged prints, and private browsing can all create a difference between the dashboard and a physical headcount. Do not treat the number as a guaranteed real-time count of bodies in a room. During an evacuation or incident, follow the site’s own procedures. Occupancy can support that work; it should not replace it.
